Privacy Policy

Thank you for using the MainTrip app. This Privacy Policy explains how MainTrip (the “App”) — a workorder & trip-management application used by companies to organize employee trips — collects, uses, stores, and protects information. By using the App you consent to the practices described below.

1. Information We Collect

A. Location Data (Primary collection)

MainTrip may access your device’s location while the App is in use. We collect and log location coordinates to our secure servers so the company (your employer) can show employee locations on a web version of our app and manage trips more effectively (routing, assignments, ETA calculations, and operational oversight). Location data collected by the App is treated as personal data. GDPR

B. Usage and Log Data

We do not collect usage analytics or diagnostic data directly from you. However, the Apple App Store and Google Play Store may automatically collect certain technical information (for example: IP address, device type, operating system, and crash reports) when you download or use the App. These store-level logs are controlled by Apple/Google and are not data we actively collect within MainTrip. C. What We Don’t Collect

Other than location data (as described above) and basic technical data that app stores may collect, MainTrip does not collect personal data such as contacts, camera photos, microphone recordings, messages, financial data, or health information.

2. How We Use Your Information

We use collected information only for the purposes described below:

  • Trip & workorder management: To display employee locations on an internal map so companies can plan and coordinate trips, allocate resources, and improve operational efficiency.
  • Safety & operational support: To help respond to incidents, confirm attendance, or verify on-site status when required by the company’s operational policies.
  • Support & communication: To respond to inquiries or issues you report related to trip assignments or app functionality.

We do not use location data for advertising, profiling for ad networks, or any purpose unrelated to company trip management. Following best practices for location-collection transparency, we obtain affirmative permission before collecting location and provide clear, just-in-time disclosures to users. 

3. Disclosure of Your Information

  • No third-party sharing for advertising: We do not disclose your precise location to third-party advertisers or marketing partners. Location information is used only by your company for trip/workorder management and operational needs unless you have explicitly authorized otherwise.
  • Legal obligations: We may disclose information if required by law (e.g., valid court order, lawful government request) or to protect the safety, rights, or property of users or the public.
  • Mergers & transfers: In the unlikely event of a merger, sale, or acquisition of our business, data (including location logs) may be transferred to the acquiring entity — we will notify affected users and follow applicable law.

Note: the App does not share your location with advertising networks or data brokers. We aim to minimize sharing wherever possible. Apple Developer

4. Consent, Permissions & How to Control Location Access

  • Permission prompts: MainTrip will ask you to grant location permission via the operating system prompt.
  • Revoke or change permissions: You can stop location sharing at any time by changing the App’s permissions in your device’s Settings. If you revoke location permissions, some features (such as live map location for trip coordination) may be reduced or unavailable.
  • In-app controls: Where possible, the App includes settings that let you pause location sharing or set sharing only while the app is in use.

5. Data Retention

We retain location logs only as long as is necessary to provide trip-management services and meet legitimate business needs (for example: resolving disputes, operational analytics, or compliance). We follow the principle of minimizing retention; typical retention is limited to a short period (for example, up to 90 days), unless a longer period is required by law or the company’s operational needs. After the retention period the data is securely deleted or anonymized. (Retention periods and practices may be updated; see “Changes to this Privacy Policy” below.)

6. Data Security

We use industry-standard technical, administrative, and organizational measures to protect personal data against unauthorized access, alteration, or destruction. These measures include encrypted transmission (TLS/HTTPS), access controls, secure server hosting, and regular security reviews. While we strive to protect your data, no method of transmission or electronic storage is 100% secure and absolute security cannot be guaranteed.

7. Children’s Privacy

MainTrip is intended for employees and workplace use. We do not target children and do not knowingly collect personal information from children under the age of 13 (or the minimum age in jurisdictions where that is higher). If you believe we have inadvertently collected data from a child, please contact us and we will promptly investigate and remove the data where appropriate.

8. Your Rights (where applicable)

Depending on your jurisdiction, you may have rights over your personal data, including the right to: access, correct, delete, or export your data; restrict or object to certain processing; and withdraw consent to processing. 9. Platform & Store Requirements

MainTrip follows platform rules about data transparency and privacy. All apps are required to provide accurate privacy disclosures in the app stores and in-app; we maintain the privacy information required by Apple and Google and will comply with their location-permission policies. 10. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The “Effective Date” at the top shows when the policy was last revised. When we make material changes we will post the updated policy in the App and, where appropriate, notify you by email or in-app notice.
